Information we collect
We collect personal and health information needed to provide safe, effective dental care and to run the clinic responsibly.
This may include your name, contact details, date of birth, medical history, dental records, X-rays, treatment notes, insurance information, payment details, and appointment communications.
For children and for patients who are unable to make their own decisions, a parent or a substitute decision-maker may act on their behalf, as allowed under Ontario law.
- Information you provide when booking, completing intake forms, or speaking with the clinic.
- Clinical records created during exams, cleanings, treatment planning, and follow-up care.
- Administrative details needed for billing, insurance claims, reminders, and patient support.
How we use your information
We use your information to provide dental treatment, manage your account, process insurance claims, communicate about appointments, and support your oral health.
We do not sell patient information. We only use the information we collect for clinic care, administration, legal compliance, and the purposes you would reasonably expect from a dental practice.
We collect, use, and share your health information with your consent, except where the law allows or requires us to act without it. You can withdraw your consent for certain uses at any time, though this may affect our ability to provide some aspects of care. We will explain any limits before you decide.
How we protect your information
We use administrative, technical, and physical safeguards to protect personal and health information against unauthorized access, disclosure, alteration, or loss.
Our team is trained on privacy expectations and handles records in line with professional obligations, including guidance from the Royal College of Dental Surgeons of Ontario (RCDSO).
- Clinic records are limited to team members who need access for care or administration.
- Digital systems are protected through account access controls and secure record-handling practices.
- Paper documents are handled and disposed of with confidentiality in mind.
